JOB SUMMARY:
We are looking for a Project Coordinator to provide coordination for Eos Lightmedia’s projects across North America and beyond working from the Vancouver office or remotely. As a Project Coordinator you will handle administrative tasks for the project manager and team members to keep the project running smoothly. This will include overseeing the project in our ERP system, document control, communications, scheduling meetings and supporting in project deliverables from initiation to closing of the project. This role repots to the Director of Operations.
WHAT YOU WILL BE DOING:
- Supporting the Project Manager with document control throughout the project.
- Coordinating with the Project Manager to execute the scheduling, supply and installation of selected projects and/or project components.
- Project set-up in Netsuite (ERP) and allocation of expenses to the project. Reporting from Netsuite to Project Managers
- Responsible for maintaining the order schedule and shipping schedule on select Eos projects
- Prepare change order and invoicing of select Eos projects and/or project components.
- Assisting in document preparation and delivery throughout projects
- Assisting with note taking, tasking team member internally and documentation to stakeholders
- Prepare installation packages, closing package for projects
- Perform additional duties as required to assist with the day-to-day operation of the business

Requirements
WHAT YOU BRING TO THE ROLE:
- 2+ years’ experience as a Project Coordinator along with a relevant degree
- Experience in lighting, audio-visual, exhibit fabrication, theatre production, event production or related industry is an asset.
- Ability to build professional relationships with management, contractors and suppliers
- Ability to read and understand construction documents is an asset
- Strong problem solving abilities - Excellent command of English language, verbal and written
- Soft skills including communication, effective presentation, and multicultural understanding
- Deadline-driven and self-motivated.
- Good business ethics
- Solutions oriented with the ability to be both creative and analytical when approaching problems
- Interest in working in a teaching and learning environment.
- Netsuite experience is an asset but not essential
- Comfortable with Apple/Mac platform is an asset not essential.
- Must be able to work flexible hours as required from time to time
- A valid driver’s license for North America and the ability to travel both domestically and internationally is required.
